Who this is for

DayReady is a substitute-coverage and classroom-readiness service that LogicLoft provides to K-12 school districts. The district is the data controller; LogicLoft processes data only on the district's instructions under the district's data processing agreement.

What we store

  • Staff records from the district's HR feed: name, work email, employee id, job title, school site, role. Sign-in is through the district's own identity provider; DayReady never stores passwords for district staff.
  • Absences, offers, and assignments: dates, reason codes, which substitute covered which classroom, and the timeline of offers.
  • Classroom readiness: lesson plans, routines, rules, emergency information and seating charts that teachers prepare for their substitutes.
  • Student roster and accommodations (name, grade, and any IEP/504 notes a teacher records) so a substitute can run the day safely. Student data is only shown to the assigned substitute from the day before an assignment through the day after it. DayReady does not store student photographs.
  • Time and pay: clock events, timesheets and payroll export lines where a district uses those modules.
  • Operational logs: sign-in records, error reports and an audit trail of administrative actions, kept so the district can answer "who did what".

The DayReady iPhone and iPad app

The app shows the same DayReady service and stores the same data as above. In addition, when you tap Turn on alerts it sends DayReady a push notification token from Apple, the app version and whether the device is an iPhone or iPad, so job offers and schedule changes can reach you. The token is tied to your account until you turn alerts off or sign out. The app contains no advertising, analytics or tracking code, does not use your location, and does not share data with third parties other than Apple's push notification service, which delivers the alerts. Camera and photo access are used only when you choose a picture to upload.

Text messages

Substitute teachers can turn on text messages on their DayReady dashboard by entering their mobile number and checking a consent box. If you do, LogicLoft, which operates DayReady, uses your mobile number only to text you substitute job offers and changes to your assignments. The texts come from LogicLoft (DayReady), not from your district or anyone else. We keep a record of when you agreed and the exact wording you agreed to. Texts are sent through Twilio. We do not share or sell your mobile number or your consent to anyone for marketing, and text messaging opt-in data and consent are not shared with any third parties. Message frequency varies with how many jobs are available, and message and data rates may apply. Reply STOP to any message to stop texts or HELP for help, or turn texts off on your dashboard. Agreeing to texts is not a condition of employment.

Who can see it

Access is role-based inside each district: teachers see their own classroom, substitutes see only their current assignment, school administrators see their school, and district administrators see their district. LogicLoft support staff access a district's data only to resolve a request from that district, and every such access is logged.

Where it lives and how long

Data is hosted in the United States and encrypted in transit. Records are kept for as long as the district subscribes and are returned or deleted at the district's direction when the service ends. Student-level data is minimised and never used for any purpose other than delivering the service.

Legal basis

DayReady operates as a "school official" under FERPA (34 CFR 99.31(a)(1)) and complies with California's Student Online Personal Information Protection Act (SOPIPA) and AB 1584. LogicLoft does not sell data, does not advertise, and does not build profiles of students for any purpose outside the service.
